Managing organization budgets
Set per-beneficiary limits, track spend, and approve extensions without losing oversight.

How budgets work
Budgets cap how much your organization is willing to spend per beneficiary or per sponsorship. When the cap is reached, new sponsored bookings are blocked until you top up or raise the limit.
Budgets track committed spend (bookings that are pending, approved, or in progress) and settled spend (completed consultations). You see both figures on the Organization dashboard.
Budgets are per sponsorship, not global. A beneficiary covered by two separate sponsorships has two separate budgets — they do not share.
Setting a budget
From Organization → Sponsorships, open a sponsorship and click "Edit budget". You can choose a fixed cap, unlimited, or a number of consultations.
Steps
- Pick budget type: amount in euros, number of consultations, or unlimited.
- Enter the limit and confirm — the change applies to future bookings only.
- Save. The beneficiary sees the updated budget on their sponsorship page.
Monitoring spend
The Sponsorships list shows a progress bar per row (consumed vs. total). Click a row to see the full breakdown: committed, settled, available.
Budget states
- Green — more than 30% of the budget remaining.
- Amber — under 30% remaining. Consider topping up before the next booking.
- Red — budget exhausted. New sponsored bookings are blocked until you raise the cap or top up.
- Unlimited — no cap; consumption tracked for your records but not enforced.
We check cumulative spend at booking creation, not at booking completion. This prevents surprise overages when multiple bookings land close together.
